GroundworkOS ("we," "our," or "us") is a daily resilience practice app built for people navigating hard seasons of life. We take your privacy seriously — especially because the data you share with us is deeply personal. This policy explains what we collect, why we collect it, how we use it, and who can access it.

1. Information We Collect

Account Information

When you create an account, we collect your email address and password. We also capture your timezone (automatically detected from your device) to deliver reminders at appropriate local times.

Profile Information

You may choose to answer profile questions ("21 Questions") about your values, goals, relationships, and current season of life. This information is used to personalize your experience with your Guide. Providing this information is entirely optional.

Journal and Reflection Entries

GroundworkOS includes structured journaling features (Morning Bell, Evening Bell, Sunday Compass, and other reflection types) and a freeform Journal accessible from The Mirror. The content you write in structured reflections is stored to provide continuity in your practice and to give your Guide context about your journey.

Journal entries are private by default. You may toggle a per-entry "Share with Guide" option to make a specific Journal entry visible to your Guide as conversational context. Journal entries you have not explicitly shared are never sent to Anthropic's Claude API and never read by your Guide. You can toggle the share setting on a Journal entry at any time after it is written.

Health and Wellness Data

You may log health-related information including sleep, food intake, movement, hydration, weight, medications, supplements, side effects, and appointments. This data is used to populate your Battery dashboard and to provide your Guide with context so it can support you more effectively. All health data logging is voluntary and initiated by you. If you connect Apple Health, GroundworkOS reads only the categories you explicitly grant access to during the Apple Health permission flow.

Financial Data (The Storehouse)

If you choose to connect your bank accounts through Plaid Link in The Storehouse, we collect financial account information including account names, balances, and transaction history. This data is used exclusively to power your financial Battery score, support your Guide's understanding of your financial health, and display your spending patterns and envelope budgets within The Storehouse. Connecting your financial accounts is entirely optional. See Section 5b for full details.

Conversations with Your Guide

When you talk with your Guide — in everyday conversation or in financial advocacy conversations through The Wellspring — your messages and the Guide's responses are stored. Conversations are organized into sessions. When a session closes, an AI-generated summary is created and stored to provide continuity across future conversations. Voice messages, if used, are transcribed to text and the transcription is stored — audio recordings are not permanently retained.

The Covey (Peer-to-Peer Messaging)

If you join a Covey, you are joining a small private group of other GroundworkOS users navigating a similar season. The following data is shared with other members of any Covey you join: your first name (as you entered it during onboarding), your optional tagline (the single line you write when joining), your check-in status for the current day, and any messages you post in the Covey. You may also see this same information from other Covey members. Your email address, your full profile, your health data, your financial data, your Journal entries, and your private Guide conversations are never shared with other Covey members. The Covey is tended each morning by your Guide, which has access to general Covey activity to write its morning message but does not surface any individual member's private GroundworkOS data to the group.

Messages and check-ins you post in a Covey are stored. If you leave a Covey, your past messages remain visible to other Covey members, but no new messages or check-ins will be associated with you in that Covey. We cannot and do not control what other Covey members do with content you share — including, but not limited to, screenshotting, copying, or reposting it elsewhere. By participating in a Covey, you acknowledge that anything you share with your Covey is shared with other humans whose actions we cannot control.

Daily Practice Data

Your Gate completions (daily practice tracking across five domains) and Basecamp progress are stored to track your consistency over time.

Device and Usage Information

We collect basic diagnostic information including error logs (via Sentry), device type, browser type, and general usage patterns. This data is used to identify and fix bugs and improve app performance.

2. How We Use Your Information

We use the information we collect to: provide and personalize your GroundworkOS experience, including Guide conversations, journaling, health tracking, financial tracking via The Storehouse, financial advocacy conversations via The Wellspring, peer-to-peer messaging via The Covey, and daily practice features; generate AI-powered responses from your Guide that are informed by your profile, reflections, health data, and (when applicable) financial context; send you daily reminders and nudges via email at times appropriate to your timezone; create conversation summaries to maintain continuity between Guide sessions; monitor app performance and fix technical issues; and improve GroundworkOS's features and user experience over time.

We do not use your data for advertising. We do not sell your data. We do not use your health or financial data for any purpose other than providing direct benefit to you within the app.

3. Third-Party Services

GroundworkOS uses the following third-party services to operate. Each service receives only the minimum data necessary to perform its function:

Supabase (Database & Authentication)

Stores your account information, journal entries, health data, financial data, Guide conversation history, Covey messages and check-ins, and practice data. Handles user authentication. Data is encrypted in transit and at rest.

Anthropic (AI Conversations)

Powers your Guide conversations, including The Wellspring's financial advocacy mode and the morning Covey messages written by your Guide. Your messages, along with relevant context (profile, reflections, health data, financial summary, session summaries, and Journal entries you have explicitly shared with your Guide), are sent to Anthropic's Claude API to generate Guide responses. Per Anthropic's current API terms, your data is not used to train their models when accessed via their API.

Plaid (Financial Data Aggregation)

If you connect your bank accounts through Plaid Link in The Storehouse, Plaid securely accesses your financial institution data on your behalf. Plaid receives your bank login credentials directly through the Plaid Link interface — GroundworkOS never sees, receives, or stores your bank login credentials at any time — and provides us with your account balances and transaction history. Plaid's use of your data is governed by their Privacy Policy at plaid.com/legal. The use of information received from Plaid will adhere to the Plaid Developer Policy, including the Limited Use requirements.

OpenAI (Voice Transcription)

If you use voice input, your audio is sent to OpenAI's Whisper API for transcription. The audio is processed and not retained by OpenAI after transcription is complete.

ElevenLabs (Voice Output)

If you enable voice responses from your Guide, the Guide's text responses are sent to ElevenLabs to generate spoken audio. ElevenLabs processes the text and does not retain your conversation content.

RevenueCat (Subscriptions)

Manages subscription state and entitlements. RevenueCat receives your user identifier and subscription transaction events from Apple App Store and Google Play in order to verify your subscription status. It does not receive your health data, financial data, Guide conversations, or Covey messages.

Resend (Email)

Sends daily reminder emails (Morning Bell, hydration nudge, Gates reminder, Evening Bell, and periodic reflections). Resend receives your email address and the email content. No personal health data, financial data, or conversation content is included in emails.

Sentry (Error Monitoring)

Captures error logs and diagnostic data to help us identify and fix bugs. Sentry may receive device type, browser information, and error stack traces. It does not receive your personal content, health data, financial data, or conversations.

Vercel (Hosting)

Hosts the GroundworkOS frontend application. Vercel may process your IP address and basic request data as part of standard web hosting.

Render (Backend Hosting)

Hosts the GroundworkOS backend server. Render may process your IP address and basic request data as part of standard web hosting.

All third-party services are bound by their own privacy policies and are required to provide protection of your data consistent with this policy. We do not share your data with any third parties for advertising, marketing, or data mining purposes.

4. AI-Generated Content Disclosure

Your Guide is powered by artificial intelligence (Anthropic's Claude). While your Guide is designed to be a supportive conversational companion, it is not a licensed therapist, medical professional, financial advisor, attorney, or crisis counselor. Guide responses are AI-generated and should not be treated as professional medical, psychological, legal, or financial advice.

The Wellspring is your Guide in financial advocate mode. It can help you find programs you may not know about, understand bills and insurance denials, and see the landscape of options available to you — but it is not a substitute for a licensed financial advisor, attorney, certified patient advocate, or benefits counselor. Decisions about your finances, insurance, benefits, debt, or legal rights should be made in consultation with appropriate licensed professionals.

5. Health Data

GroundworkOS collects health and wellness data that you voluntarily provide, including sleep, food, movement, hydration, weight, medication, supplement, side effect, and appointment logs. If you connect Apple Health, GroundworkOS reads only the categories you explicitly grant access to. This data is used exclusively to provide direct benefit to you within the app — specifically, to power your Battery dashboard and to give your Guide relevant context. We do not share your health data with third parties for advertising, marketing, or data mining purposes.

5b. Financial Data

If you choose to connect your bank accounts through Plaid Link in The Storehouse, GroundworkOS collects financial account data including account names, balances, and transaction history via Plaid. This data is used exclusively to:

  • Calculate your financial Battery score
  • Display your spending patterns and envelope budgets within The Storehouse
  • Give your Guide context to better support your overall wellbeing when you ask for financial support

Your bank login credentials are entered directly into Plaid Link and are never seen, received, or stored by GroundworkOS at any time. Plaid uses bank-level encryption with read-only access to your accounts. We do not share your financial data with third parties for advertising, marketing, or data mining purposes. We do not use your financial data to make lending decisions or sell it to financial institutions. You may disconnect your bank accounts at any time through the app settings, at which point we will stop collecting new financial data. Historical financial data will be deleted within 30 days of disconnection.

The use of information received from Plaid will adhere to the Plaid Developer Policy, including the Limited Use requirements.

5c. The Covey

The Covey is a peer-to-peer feature that places you in a small private group of other GroundworkOS users navigating a similar season. Participation in The Covey is entirely optional.

What other members see: your first name, the optional tagline you write during onboarding, your daily check-in status, and any messages you post in the Covey.

What other members do not see: your email address, your last name, your profile answers, your health data, your financial data, your Journal entries, your private Guide conversations, or your account activity outside the Covey.

Moderation and your Guide: The Covey is tended each morning by your Guide, which sends a scheduled morning message. The Guide has access to general Covey activity (such as recent messages and check-in counts) in order to compose this message. It does not surface any individual member's private GroundworkOS data to the group.

Retention and leaving: Messages and check-ins you post in a Covey are stored. If you leave a Covey, your past messages remain visible to other Covey members, but you will no longer receive Covey notifications or see new messages from that Covey.

No expectation of confidentiality from other members: We cannot and do not control what other Covey members do with content you share. Other members may screenshot, copy, or share information you post outside the app. By participating in a Covey, you acknowledge that anything you share is shared with other humans whose actions we cannot control. Do not share information in a Covey that you would not be comfortable being seen outside the app.

Reporting: If another Covey member is engaging in harassment, abuse, or behavior that violates our Terms & Conditions, contact us immediately at info@groundworkos.ai. We reserve the right to remove members from Coveys for violations.

6. Data Storage and Security

Your data is stored in Supabase (built on PostgreSQL) with encryption in transit (TLS) and at rest. Authentication is handled via Supabase Auth with secure token management. Financial data received via Plaid is stored with the same encryption standards applied to all user data. Covey messages are stored with the same encryption standards as all other user content. We use industry-standard security practices to protect your information. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your data for as long as your account is active. Your journal entries, conversation history, health logs, financial data, Covey messages and check-ins, and practice data are kept to provide continuity in your GroundworkOS experience. Conversation session summaries are retained to give your Guide ongoing context. If you delete your account, we will delete all associated personal data within 30 days, except where retention is required by law. If you disconnect your bank accounts, financial data will be deleted within 30 days. If you leave a Covey, your past messages remain visible to other Covey members for the lifetime of that Covey but are no longer associated with an active membership for you.

8. Your Rights and Choices

You have the right to access the personal data we hold about you; request correction of inaccurate data; request deletion of your account and all associated data; disconnect your bank accounts and request deletion of financial data at any time; leave any Covey at any time; opt out of email reminders (unsubscribe link included in every email); choose not to provide optional information such as health logs, financial connections, profile answers, Journal entries, or Covey participation. 9. Children's Privacy

GroundworkOS is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal data, we will take steps to delete that information promptly. If you believe a child under 13 has created an account, please contact us immediately.

10. Tracking and Advertising

GroundworkOS does not track you across other apps or websites. We do not use advertising identifiers. We do not serve ads. We do not share your data with advertising networks or data brokers. We will never sell your personal information.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you via email or through a notice in the app. Your continued use of GroundworkOS after changes are posted constitutes your acceptance of the updated policy. We encourage you to review this policy periodically.
